The Accounting Manager is responsible for the daily operations of payroll, accounts receivable and student accounts within the Business Office and serves as the contact for related information for all staff.
Manages payroll function including:
Accurate and timely payment of all BTC staff for services provided and hours worked in accordance with polices and applicable rules and regulations.
Supervises payroll withholdings, payments and coordinate the administration of programs with Human Resources.
Reconcile general ledger payroll related accounts on a monthly basis, including withholdings and expenses.
Maintain a salary distribution account that is in conformance with WTCS Financial Accounting Manual and Staff Accounting Manual requirements.
Prepare required tax, unemployment compensation, and retirement reports for governmental agencies.
Supervises the accounts receivable function:
Ensure the prompt and timely invoicing of students, contracts and other services.
Establish and monitor the collection status of open accounts receivable.
Refer delinquent accounts receivable to collection as appropriate.
Analyze and reconcile accounts receivable accounts balances to the general ledger account balances.
Responsible for management of student accounts:
Ensure proper billing of tuition and fees.
Reconciliation of student accounts.
Administration of payment plans and accounting agreements.
Ensure timely processing of student refunds.
Promotion of direct deposit for student refunds.
Prepare for the college’s annual financial audit for cash payroll and accounts receivable functions, including the following:
Prepare the required worksheets, schedules and required subsidiary information.
Provide support to the audit team during audit planning work and fieldwork.
Supervise the posting of required audit and other closing entries.
Coordinates and facilitates other college financial functions.
Provide support for monthly cash reconciliation related to the A/R module.
Reconciliation of PELL, SEOG, and college work-study grants.
Maintain Department of Education Grant Administration and Payment System grant activity and draw down of federal funds on a current basis.
Supervise the Payroll Administration and Accounting Clerk IV.
Bachelor Degree in Accounting or related field from an accredited university.
Four (4) years of experience working in an Accounting Field.
Two (2) years Payroll Processing experience required with multi-state experience preferred.
