  • Overview

    Position provides administrative support to the division, including the Director of Workforce and Community Development. In coordination with other members of the WCD team works through contract and logistical needs ensuring we can meet the business clients expectations as outlined within their training contract. Individual will work closely with part-time instructors in preparation of training materials, and will assist with recordkeeping and records maintenance within the division.

    Responsibilities

    1. Provide front-line customer support within the division, interacting with internal and external customers. Timely responding to inquiries over the phone, through e-mail, and in person for current and prospective clients.
    2. Support contract training initiatives including:
      1. Assemble instructional materials as needed for training sessions, ensure branded appropriately with BTC logo and information.
      2. Coordinate logistics of training courses held on campus or other sites. Logistics include room reservations, set up and coordination of necessary materials and technology.
      3. Prepare and process teach and non-teach instructor contracts and assignment sheets ensuring accuracy of rate information and timely process to scheduling and payroll.
      4. Compile evaluation data from customized training to ensure client satisfaction of delivered training program.
      5. Maintain program records using multiple databases.
    3. Provide support for department marketing efforts including: preparation of WCD newsletter, website maintenance, maintaining intranet pages, assembly of marketing materials
    4. Assist in the development of marketing pieces using software such as Publisher.
    5. Assist with marketing and implementation of community enrichment offerings such as Youth Camps.
    6. Provide administrative support to Motorcycle Safety Training courses, including the registration, facilitation of faculty contracts, and state reporting requirements.
    7. Provide administrative support to division.
    8. Participate in college engagement activities as assigned.
    9. Provide back up technical support for the Web Based Employment System (Wisconsin Tech Connect) for employers and students. This includes assisting employers with account set up, approving job postings, and assisting students.

    Qualifications

    Knowledge, Skills & Abilities:

    1. Strong attention to detail.
    2. Experience working within a management information system (ie Banner)
    3. Strong customer service skills through in-person, phone and other mediums of correspondence.
    4. Ability to manage sensitive and confidential information.
    5. Ability to organize, coordinate, and prioritize assigned job duties.
    6. Ability to compose and proofread letters, memos, and other correspondence.
    7. Ability to handle multiple projects effectively in an environment with frequent interruptions.
    8. Ability to interact with diverse populations.
    9. Ability to adapt to constantly changing information and customer needs.
    10. Demonstrated proficiency working as part of a cohesive team.

     

    Education & Experience:

    1. Associate Degree in Business Related field and 2 years of related occupational experience or a minimum of two years related occupational experience.
    2. Microsoft Office Suite certification or demonstrated proficiency/experience with Microsoft Office Suite (Word, Outlook, Access, with strong experience in Excel and Publisher).
