Overview

The position provides centralized administrative support for the Information Technology Services Department. Responsibilities encompass a wide range of support activities, including interactions with faculty, staff, administrators, and various vendors of college-wide products and services.  Key duties include supporting communication, budgets, purchasing, payment processing, fixed asset tracking, generating reports and information through queries and/or spreadsheets.

 

This position will be open until filled, with a first review date of March 10, 2025. After this date, the recruitment may close without further notice. Interested applicants are encouraged to apply as soon as possible.

 

Responsibilities

Provide purchasing, budgeting, and recordkeeping for ITS Department

  1. Assist in budget development and provide detailed reports.
  2. Track, allocate, and reconcile capital and operational expenditures.
  3. Process capital and operational purchases for the ITS Department, covering infrastructure and all IT-supported systems (hardware, software, maintenance support, office supplies, etc.) via p-card, requisition and purchase orders.
  4. Process and track specialized capital and operational purchases of IT equipment and software for other departments/divisions via P-card, Requisition, and Banner PO.
  5. Processing monthly P-card statements.
  6. Tracking BTC telephone accounts and processing monthly invoices for all college-wide technology-related operations for payment.

 Fixed Assets Inventory and Reporting and disposal:

  1. Maintain inventory of ITS equipment across campus sites.
  2. Follow fixed asset reporting procedures to track newly purchased IT equipment and manage the disposal, recycling, or donation of end-of-life equipment.
  3. Prepare monthly reports of inventory changes.
  4. Resolve inventory discrepancies.
  5. Develop inventory tracking reports and information as requested, such as for desktop/laptop rollouts and infrastructure equipment.
  6. Maintain records of maintenance contracts and software renewal dates.
  7. Monitor events for IT assistance requests and enter them into the department work order system as appropriate.
  8. Assist with software/hardware testing of new products and documentation development.

Provide Administrative Assistance to Information Technology Department.

  1. Support the department through coordination of office moves, space management activities, procurement of office supplies or equipment, and liaison with vendors and maintenance staff.
  2. Route calls and visitors through department processes, and schedule and register group meetings, trainings, and workshops.
  3. Attend departmental, committee, and project meetings, taking minutes as requested.
  4. Prepare documents, word processing, spreadsheets, and web information as assigned. Proofread documents as requested.
  5. Maintain office supplies and order supplies as needed.

Qualifications

Knowledge, Skills & Abilities:

  1. Experience working within a management information system (e.g., Banner).
  2. Proficiency with Microsoft Office products, particularly Excel, Outlook, and Teams.
  3. Strong analytical skills, and ability to utilize MS Excel.
  4. Ability to read and interpret policies and procedures of department and college.
  5. Strong customer service skills through in-person, phone, and other mediums of correspondence.
  6. Ability to manage sensitive and confidential information.
  7. Excellent organizational, coordination, and prioritization skills.
  8. Ability to multi-task in a high-pressure, rapidly changing environment with frequent interruptions.
  9. Proficiency in setting up and maintaining complex spreadsheets and applying advanced accounting principles.
  10. Ability to prepare reports using various software programs as requested.
  11. Ability to interact effectively with diverse populations.
  12. Previous experience and strong knowledge of information technology terms.

 

Education & Experience:

  1. Associate Degree in Administrative Professional or comparable education and work experience.
  2. Two years related occupational experience.
